Step 1-The Design Brief
When you first instruct us, you will provide us with a ‘design brief’ indicating in general what you are looking to achieve. We will arrange to come out and meet you at the property or proposed plot to introduce ourselves and get a good understanding of what you are hoping to achieve. Then it is our responsibility to transfer this general idea into shapes and sizes on paper. More often than not you will need help with the preparation of the brief. We will be pleased to assist, having made a thorough study of your needs. Above all else the ‘design brief’ must be an accurate statement of your requirements.
Step 2- The Sketch Scheme
The first key event on our design process is to obtain your approval of a sketch scheme which consists of:
- A set of easily understandable sketch drawings.
- An explanation of the drawings and their relationship to the ‘design brief’.
- A description of materials and methods of construction.
- A description of services
- A note of the consents, which are required.
- Approximate estimate of the cost including professional fees.
Cost Planning & control
In building today the cost is always important. We recognise that the financial aspects of the building and cost control must be regarded as a fundamental parts of the design process. As the drawings are developed and decisions are made, we will keep you constantly advised of the implications of any amendments made for the cost of the project as a whole.
Step 3-Drawing
Once a sketch scheme has been approved, we will proceed to complete a full set of drawings for Planning submission and Building Regulations.
No building can be designed or built without drawings, which should be neat and perfectly clear. They should relay all necessary information; at EAP we are mindful that they should avoid irrelevancies and unnecessary duplication. A building consists of many elements; the structure frame, the walls, the partitions, the roof, the heating, lighting, plumbing and so on. The sequence in which drawings are prepared, and their accuracy, is of crucial importance to the success of any project.
Step 4- Planning & Building Regulation Application
In most circumstances, you may need to have Planning Permission and Building Regulations for your proposed project. In order to ascertain if permission will be given for the erection of a building on the proposed site, application for planning permission to the Local Authority must be made. We consider it helpful to call Council Planning Offices and discuss the proposals before completing the application.
At EAP we will deal with every stage of the planning process, saving you time, money, hassle and unnecessary stress. The type of application will vary according to the job and your own requirements. We are able to offer advice, based on substantial past experience in such matters, and personal knowledge of the preferences of local planning officers. Various planning applications can be made, a full planning application if you
wish to change the use of the land or buildings or carry out works including the erection of a building with drawings indicating the comprehensive proposal. Or an outline application if you wish to know whether planning permission will be given for the erection of a building on a site before you have detailed drawings prepared.
As well as Planning Permission an application to Building Regulations must be made to ensure that any work complies with the current Building Regulations. We have to show that the proposed building meets all requirements of the current regulations, by depositing full plans, including structural designs and structural calculations for consideration.

Step 5-Specification/Bill of Quantities
A specification, by tradition is a document that is prepared to convey in writing all that the builder needs to complete a proposed project.
Good drawings can convey most of the information about a proposed building to the builder. However much of the information the builder will require such as, the quality of cement to be used or the way in which a particular item must be installed cannot be shown graphically, but instead must be described in writing. Alternatively, a bill of quantities can be created, in many cases this is created for larger and more complex projects.
The decision as to which of the two you should use is very dependent on the size and complexity of the project. At EAP our experience has shown us that intelligent use of such documentation provides a speedy and efficient method of conveying your wishes to the builder.
Step 6-Tenders & Contracts
The number of firms invited to tender will depend upon the size and type of contract. We can assist you by drawing up a list of contractors of known ability, however the final decision will be up to you.
Once tenders have been received and a successful contractor selected, the contact will be drawn up and signed. We can advise you on the most appropriate form of building contract, taking into account the exact nature of the project. The contract will outline the overall cost of the building project and a start and finish date for the project, which will give you maximum protection.
Step 7 - Contract Administration
We will act as your 'quality controllers' through the duration of the project. When the value of the contract is over more than a few thousand pounds, it is normal practise for Contractors to be paid sums on account, as the construction work pr
oceeds. You need to be satisfied that the sum paid is reflective of the value and adequacy of the work, which has been done. Under the contract, we will carry out valuations in accordance with the provisions of the contract and certify any sum due. Once the project is complete, we will produce a detailed document to show the final a
ccount.
Our regular site inspections whilst the work is being carried out will provide a step by step way of monitoring workmanship and materials, thus providing a building which is structurally accurate, pleasing in appearance, and in accordance with your wishes.
